Admin. Assistant/Receptionist Float Featured

Reporting to the Records and Information Manager, the Administrative Assistant/Receptionist Float supports the primary Receptionist position by providing reception coverage for daily breaks, unexpected absences, and scheduled time off. They will also be responsible for performing various administrative duties throughout the Chugachmiut Anchorage office as assigned by the Records and Information Manager to support the Administration Division as needed. This position will involve working within different levels of the Chugachmiut organization and performing diverse tasks according to the needs of each department. This position requires strong time management skills, personal accountability, and effective teamwork.

Administrative Support Essential Duties and Responsibilities:

  • Performs various administrative duties for the Administration Division as assigned by the Records and Information Manager; This may include document scanning, filing, faxing, copying, ordering supplies, managing schedules, etc.
  • Provide support to the Executive Assistant and Communications Manager for company-wide events, including planning, ordering supplies, picking up supplies, setting up and taking down, and others as needed

Receptionist Essential Duties and Responsibilities:

  • Provide two 15-minute breaks for the primary receptionist and full reception coverage whenever the primary receptionist is out of the office (i.e., sick days, appointments, PTO/Leave)
  • Sort incoming mail and distribute it to the appropriate departments; Prepare outgoing mail, packages, and certified mail
  • Stock all coffee and kitchen supplies in the 3 breakrooms/kitchens; make coffee in the first-floor breakroom at 8:30 AM, if necessary; clean and tidy each area to include Keurig machines, coffee machines, dishes in the dishwasher, counters, cabinets, and break down boxes for recycling
  • Schedule conference and training rooms as requested by staff; Ensure rooms are cleaned and ready before any scheduled meetings
  • Create ID badges and escort visitors as needed to appropriate destinations within the Chugachmiut office building in Anchorage
  • Take inventory of all supplies in the back room (coffee/kitchen/cleaning supplies) and office supplies in Reception; complete purchase orders as needed to order supplies; place online orders for Costco/Instacart, Pitney Bowes, Arctic Office, etc., and submit any purchase orders requiring approval to the Records and Information Manager
  • Check the Executive Suite, first-floor, and second-floor copiers for adequate paper and ink cartridges; load paper and ink when necessary and order additional ink cartridges and paper when needed
  • Escort AK Waste and Alaska Shred to empty shred bins and collect recycling throughout the building
  • Performs other duties as assigned

Education Requirements:

  • High School graduate or GED required
  • Receptionist and/or administrative office experience is preferred
  • Experience working with Alaska Native communities is preferred


Hours of Work:

Hours of work are 8:30 a.m. to 5:00 p.m. with an hour for lunch. This is a full-time 37.5 hours per week and 1950 hours per year position. Chugachmiut maintains a drug/alcohol free and non-smoking environment.
