Essential duties & responsibilities collections cash receipts and cash application:

• Processes and posts daily cash receipts, including ACH payments, wire transfers, checks, and credit card transactions.
• Applies customer payments accurately and timely to outstanding invoices.
• Reviews remittance advice and supporting documentation to ensure proper cash application.
• Researches and resolves unapplied cash, unidentified deposits, and payment variances.
• Reconciles customer account balances and payment activity.
• Prepares daily cash receipt entries into Costpoint and supporting documentation.
• Coordinates with Treasury and Accounting personnel regarding cash activity and banking transactions.
• Assists with accounts receivable reconciliations and month-end closing activities.
• Ensures all cash receipt transactions are recorded accurately and supported by appropriate documentation.
• Maintains organized records in SharePoint of deposits, remittances, and supporting cash receipt documentation.

Other duties:

• Supports month-end and year-end accounting close processes related to accounts receivable and cash receipts.
• Assists with internal and external audit requests involving customer accounts, collections, and cash receipts.
• Ensures compliance with company policies, internal controls, and applicable contractual requirements.
• Identifies opportunities to improve collection effectiveness, cash application accuracy, and operational efficiency.
• Participates in process improvement initiatives and special projects.
• Maintains confidentiality of customer and financial information.
• Performs all other duties as assigned.

Required (minimum necessary) qualifications:

• Education requirements: Associate degree in Accounting, Business Administration, Finance or related field; equivalent combination of education and five years of relevant experience may be considered.
• Level of experience requirements: Minimum three years of experience in accounts receivable, collections, cash applications, and customer account reconciliation. Experience with Deltek Costpoint or similar software. Experience in researching and resolving payment discrepancies.

Necessary physical requirements:

• Must be able to work in an office setting, sit for long periods of time, talk on the telephone, work on a computer for extended periods of time, and lift and carry up to 25 pounds on a periodic basis.
• Must possess: visual acuity to review written documentation; ability to hear and understand speech at normal room levels and on the telephone; and the manual dexterity to operate a cell phone, telephone and keyboard.

Work environment:

• Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse and multi-line telephone system. The work described herein is primarily a modern office setting. Occasional travel may be required.

Supervisory responsibilities:

• This position will not have supervisory responsibilities.
