Legal Secretary I

The Arizona Attorney General's Office Solicitor General's Office Division/Criminal Appeals Section is seeking a Legal Secretary I. The position will maintain the legal records, files, and case management in the Criminal Appeals/Capital Litigation Sections. The employee will be responsible for opening and closing case files. This includes entering data in our case management system and organizing files. As needed, this employee will timely and accurately prepare standard legal correspondence and pleadings using our templates, complete minor court filings, docketing, filing, and appropriate administrative support, including screening a wide variety of calls and visitors. This employee will assist with typing, copying, scanning, court runs, preparing deliveries to Tucson, and archiving. This is a very busy position for which regular attendance is required.

This position may offer the ability to work remotely two days a week, based upon the department's business needs and continual meeting of expected performance measures.

Job duties include: docketing incoming electronic mail and physical mail, opening new case files by entering data into Legal Files and CMS, and creating new file folders and boxes. Compose, type, and prepare pleadings, correspondence, and exhibits in accordance with court rules and in proper format, and e-file in various courts. Typing, copying, scanning, court runs, and preparing deliveries to Tucson. Archiving: locates court mandates to close files, enters data in Legal Files and spreadsheets, and prepares files for Records Management. New case assignments: process promptly, locate and organize case files, obtain necessary records and transcripts, complete appropriate follow-up, distribute files to assigned attorneys, and advise appropriate coworkers of progress. Answering telephones: screens telephone calls and answers inquiries pertaining to cases.

Knowledge, skills, and abilities required include: knowledge of complex office and clerical procedures and practices, good organizational skills, skilled in the use of Microsoft Office products such as Word and Excel, skilled in the preparation of correspondence, skilled in grammar, punctuation, spelling, skilled in operating computer/keyboard and various office equipment. Ability to deal with the public using appropriate tact, resourcefulness, and alertness, ability to make decisions regarding sequence and priority of assigned tasks, ability to adapt to changing assignments and priorities, ability to sort, arrange, and file documents within proper case file, ability to maintain confidentiality concerning legal files of the Attorney General's Office, ability to get along and work well with others, ability to handle a high volume of work and stressful situations, ability to type 40 wpm with minimal errors.

Selective preference: pre-employment requirements include travel, a valid Arizona Driver's License, consent to have your driving record run periodically, fingerprinting, and completion of a criminal background check through State and Federal agencies.
