Research Administration Associate - Clinical Trial Finance

Salary Range: $70,618 - $83,000

FLSA Status: Exempt

Work Schedule: Monday - Friday, 8 a.m. - 5 p.m.

Summary

This position serves the Dan L Duncan Comprehensive Cancer Center (DLDCCC) in post-award clinical research financial management. The position will report directly to the Manager of Clinical Research Finance, and will focus on post-award invoicing, billing and budget reconciliation.

Employees with CRA certification are eligible for certification pay.

Job Duties

Billing Compliance & Patient Account Reconciliation

  • Analyze and resolve clinical research patient accounts in Epic and other billing systems.
  • Review accounts to correctly identify and route research-related charges per the coverage analysis.
  • Ensure all clinical research charges are supported by documentation and protocol requirements.
  • Identify and resolve discrepancies in the billing workflow and escalate issues when necessary.
  • Maintain and update clinical research billing procedures and contribute to process improvements.
  • Serve as a resource to study teams regarding charge routing, billing compliance, and documentation requirements.
Sponsor Invoicing & Post-Award Financial Support (Emerging Duties)
  • Assist with creating accurate sponsor invoices based on contract terms and protocol activity.
  • Track payments, reconcile outstanding balances, and follow up on delinquent sponsor payments.
  • Maintain financial documentation to support audits and internal reviews.
  • Assist with developing standardized invoicing templates, reconciliation tools, and departmental SOPs.
Cross-Functional Collaboration & Support
  • Provide CPT and ICD-10 coding guidance for the Pre-Award team during coverage analysis and budget development.
  • Provide coding and documentation education to investigators, providers, and research staff.
  • Collaborate with BCM departments and affiliate sites to ensure timely and accurate payment of research charges.
  • Perform other job-related duties as assigned.
Minimum Qualifications
  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.
Department Specific Criteria
  • Must have experience with clinical research, clinical trial finance, and/or grant management.
  • At least 2 years of clinical research experience.
  • Strong attention to detail, analytical ability, and adherence to policies and regulations.
  • Excellent professional communication skills; able to explain billing concepts clearly to non-financial staff.
  • Strong organizational skills, follow-through, and ability to work independently and as part of a team.
