Schedule: Monday-Friday 8:00am-5:00pm

Reports to: Special Assistant/Shareholder Services Administrator

JOB OVERVIEW

The Office Assistant serves as a courteous first point-of-contact for internal and external stakeholders. Successful applicant must be comfortable working with a high degree of detail and discretion, in a sometimes fast paced environment, and ability to incorporate new and effective processes to achieve better results.

**This position will not start until approximately beginning of April 2026**

RESPONSIBILITIES

  • Act as the company's first point of contact, by greeting in-person visitors to the office.
  • Answer phone calls, respond to all general email inquiries, greet guests, and route all employee and participant questions to the proper staff.
  • Assistant with the preparation of travel arrangements for board members, committee members, and others as requested.
  • Maintains physical space, ensuring a safe, clean, and functional environment.
  • Create, file, organize, and maintain any files and folders.
  • Make photocopies, transmit documents, order office supplies, and perform other clerical functions.
  • Collect, sort, distribute and prepare mail message and courier deliveries.
  • Schedule department and Board related meetings and events.
  • Assist Shareholder Services with tasks; communicate the importance of stock wills, assist with the transfer of shares, update shareholder demographics in database, verify shareholder enrollment and assist with distribution of dividends.
  • Provide assistance to other departments as needed.
  • Assists with tasks related to facilities coordination.
  • Ensures safety standards are followed throughout the facility.
  • Performs incidental tasks related to the position as well as various duties, as assigned, to support the overall objectives/goals of the team while maintaining a positive attitude.
REQUIREMENTS
  • Gana-A'Yoo shareholder or descendant of an original shareholder
  • Effective communication skills, oral & written
  • Effective customer service skills and telephone etiquette.
  • Experience in Microsoft Office programs preferred
  • Ability to make sound decisions and exercise good judgement.
  • Ability to work collaboratively with other team members
  • Strong organizational skills, attention to detail
  • Ability to prioritize workload and adapt to changing priorities.
  • Maintain a high degree of sensitivity regarding confidential information.
  • Experience in Alaska Native Corporations preferred but not required
  • Ability to pass a background and drug screening.

WORK ENVIRONMENT

This position will primarily work in an office setting. The office environment is professional, collaborative, and conducive to focused work. The typical office amenities and equipment, including computers, phones, and other necessary tools, will be provided. Travel is required. Travel may include long flights, travel by small aircraft carrier, snowmachine/atv or watercraft, and extended stays in remote areas of Alaska.

PHYSICAL DEMANDS

SEDENTARY WORK

The position involves predominantly sedentary work. Most tasks will be performed while sitting at a desk or a computer workstation.

SCREEN TIME

Extensive use of computer screens and keyboards is required. The role involves working in various software applications and may require extended periods of screen time.

LIFTING & CARRYING

Minimal physical effort is required. Occasionally, the employee may need to lift or carry light office supplies or materials.

MOBILITY

The employees will need to move around the office to attend meetings, access shared resources, and collaborate with team members.

GYL is an Alaska Native-Owned Village Corporation serving its more than 2,000 Native shareholders and four villages located along the Yukon River. Alaska Native Corporations are the result of the passage of the Alaska Native Claims Settlement Act, which was signed into law in 1971.
