Job Summary

The District Registrar provides administrative support for the Secondary Division of the Anchorage School District. The District Registrar answers calls, receives visitors, prepares confidential and public correspondence, maintains records, and assists in middle and high student record issues. Additionally, this position works with other school registrars in the Anchorage School District with maintaining student records, transcription, course coding, and registering/transferring students between schools. This position also provides professional development for school-based registrars. The position has a retirement association with the Public Employees' Retirement System (PERS).

Job Requirements

The following are required:

* A high school diploma or equivalent.

* Two years at an executive or administrative secretarial level or as a school registrar.

* Typing speed of at least 70 words per minute.

* Above average oral and written communication and proofreading skills.

* Knowledge of ASD computer systems such as Professional Growth, Q, EmpCenter, Business Plus, or Absence Management.

* Must have initiative and the ability to prioritize a work schedule and perform under pressure.

* Ability to maintain high levels of confidentiality due to the nature of legal cases in middle school and high school.

* Ability to maintain confidentiality and inspire confidence and cooperation of staff, parents, students, administrators, and the public.

* Ability to perform clerical work involving independent judgment, accuracy, and speed.

* Ability to plan, lay out, conduct, and teach to others clerical operations involving transactions requiring effective accountability and accurate controls.

The following are preferred:

* Familiarity with both Macintosh and Windows computers.

* Familiarity with the needs of a high school office.

* Ability to work independently, keep accurate records, accept responsibility, and complete assignments with a minimum of supervision.

* Ability to plan, organize, and facilitate unexpected heavy volumes of work and accept additional duties as requested.

* Ability to effectively use word processing and other standard office equipment.

* Ability to establish and maintain productive working relationships with chiefs, directors, other Anchorage School District personnel, and the general public.

* Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

* Ability to maintain clerical records and prepare reports.

* Ability to learn, interpret, and communicate rules, regulations, policies, and procedures.

Essential Job Functions

* Handles confidential information in various forms.

* Prepares communication with review of supervisor, to include typing of letters, memos, forms, policies and procedures, and descriptive and statistical reports.

* Assembles materials, information, and agendas for various task forces, committees, and other meetings.

* Transcribes correspondence, memoranda, reports, and minutes of meetings. Composes, types, and distributes correspondence as assigned.

* Transmits information to various organizational units. Interprets, communicates, and applies ASD policies, rules, and procedures.

* Maintains confidential files, records, correspondence logs, and other records for rapid retrieval.

* Reviews, prioritizes, routes, and distributes incoming mail.

* Researches historical data in response to public and internal requests for information as assigned.

* Assists the senior director and director of Secondary Education regarding confidential issues.

* Provides data to the Records Management Department.

* Assists school registrars in their registration transactions with students, parents, teachers, counselors, administrators, and the Anchorage School District requiring a detailed knowledge of rules, procedures, and policies.

* Leads school registrars in documenting, initiating, updating, and maintaining students' cumulative folders and permanent records.

* Supplies information involving facts and interpretations.

* Assists administrative personnel with clerical activities. Composes and prepares letters, forms and memoranda (both independently and in established formats) for staff, parents and other institutions.

* Operates various machines and does incidental typing and office related work as required.

* May direct work of other employees.

* May be required to perform additional tasks at the direction of school principals, department director or superintendent.

Physical /Mental Demands

The physical demands of this job require frequent standing, walking, sitting, speaking and hearing. Specific visual abilities are also required. The employee is regularly required to reach with his/her hands and arms and occasionally lift items weighing less than 40 lbs. Additionally, the employee must be able to understand vague and implicit instructions, be able to readily recall facts and details, handle conflict and make effective decisions under pressure. The employee must have the ability to effectively manage the stress of working with students, parents, and other employees representing diverse cultures, personalities, and work styles in a dynamic work environment.
