ANTARCTIC LOGISTICS SPECIALIST

Classification Exempt

Salary / PTO $62,500-$75,000 annual / Band 0 PTO

Reports to Antarctic Program Manager, Antarctic Technical Project Manager

Location: Anchorage, Alaska / Remote

Summary

The Antarctic Logistics Specialist will provide administrative and logistic support for the company's Science Foundation (NSF) Antarctica contract. This position will work directly with the Antarctic Technical Manager to develop a budget and work to minimize costs to maximize that budget. This position will be required to provide input based off background to programmatic challenges based off their expertise and perspective. This position will be required to work with multiple stakeholders with OAS, NSF, and the Antarctic Support Contract (ASC), to ensure the cargo and logistics timelines in the contract are met and therefore, are required to maintain a high level of professionalism both during work and in their day-to-day interactions when on work trips.

Essential Functions

  1. Plan, coordinate and oversee the movement of personnel and materials associated with the NSF Antarctica contract, both domestically and internationally.
  2. Oversee the preparation of required documents associated with material shipments and personnel travel.
  3. Assist in creating project timelines and notify company of delays or setbacks to those timelines.
  4. Collaborate with the Technical Project Manager, Company Supply Department Manager, and on ice Maintenance Leads to identify and resolve logistics challenges, ensuring smooth operation.
  5. Manage and optimize shipment execution for purchase orders.
  6. Work with on-ice maintenance leads to ensure proper inventory tracking and management.
  7. Update and create Standard Operating Procedures as position and contract evolve.
  8. Build and maintain strong relationships with freight forwarders, suppliers, and logistics counterparts within Pathfinder and the US Antarctic Program.
  9. Manage procurement budget and work to minimize cost.
  10. Monitor key logistics performance metrics to implement process improvements to increase efficiency and reduce costs.

Additional Functions

  1. Provide weekly updates, as requested.
  2. Maintain knowledge of company, system and project specific software and programs with recurrent training as needed.
  3. Provide supply and logistics support to Pathfinder for other contracts outside of the NSF project, as time allows and prioritizing the NSF project.

Supervisory Responsibility

This position has no supervisory responsibility.

Work Environment

This job operates in a professional office environment. While performing the duties of this job, the employee routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. This position may be required to go to Antarctica for short periods of time which involves the need to work in inclement weather in loud work environments

Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear. The employee must be able to read, write and speak the English fluently. This position requires extreme attention to detail. In order to deploy to Antarctica, employee will need to complete physical qualification process.

Position Type/Expected Hours of Work

This is a full-time exempt position, days/hours of work to be confirmed with supervisor.

Travel

May be required for training or meetings as needed.

Required Education and Experience

  1. High school diploma or GED
  2. At least two years of related logistics and administrative experience
  3. Proficiency in Microsoft Office (Outlook and Excel)

Education and Experience

  1. Preference to individual with Department of Interior government contract experience; Science Foundation contract experience .
  2. Preference to individual with a bachelor's degree.
  3. Preference to individual with aviation, automotive, or manufacturing purchasing experience.
  4. Preference to individual with RAMCO experience.

Additional Eligibility Qualifications

This position may be required to deploy to Antarctica for short periods of time in which case, the employee would need to complete the below:

  1. Required to PQ (Physically Qualify) for this position to the USAP medical and dental standards. The NSF also requires that you have a current vaccines and required boosters and adhere to any changes in NSF vaccination requirements.
  2. Successful completion of Federal Background Check required by the NSF.
