Administration and HR Manager
About This Role:
We are seeking an Administration and HR Manager to lead all aspects of the Anchorage Downtown Partnership's (ADP's) internal administration. The Administration and HR Manager is responsible for all aspects of ADP's day-to-day internal financial processes, human resources functions, and office management. The ideal candidate will ensure smooth organizational operations, act as a member of ADP's staff leadership team, and play a key role in creating a positive workplace culture for all staff.
This role requires occasional evening and weekend work throughout the year to support ADP's community events and programs. This role has opportunities for growth, advancement and making a lasting impact on both our organization and the community we serve.
About Us:
The Anchorage Downtown Partnership (ADP) is a nonprofit organization that provides supplemental public services, hosts community events, and leads advocacy for downtown Anchorage. Our mission is to create a vibrant, safe, and clean downtown.
Our Operations team of around 15 Ambassadors is responsible for downtown sidewalk snow removal in the winter, year round cleaning of downtown's sidewalks and public spaces, connecting those in need to emergency services, and responding to service requests. Our events staff organizes more than 50 free community events every year, including Live After Five and New Year's Eve, and supports many more community events with equipment and permitting support. We have more than 500 members, who are downtown businesses and property owners, and we work closely with our members to advocate for investments and improvements to downtown.

Core Duties:
Responsibilities of this position include:
- Process biweekly payroll, including reviewing hours, managing deductions, and coordinating with the ADP's external accounting team.
- Manage accounts payable: review and code invoices, receive approval and process payments, prepare payments (through bill.com and ACH), and coordinate with staff as needed for contracts and receipts.
- Manage accounts receivable: create and send invoices, track payments, follow up on outstanding balances, and coordinate with staff as needed.
- Serve as the primary liaison to external accountants by providing monthly documentation.
- Prepare and make bank deposits and track and categorize credit card transactions.
- Lead document collection for annual audit, 990s, insurance renewals, and tax filings.
- Maintain accurate, organized, and auditable financial records and files.
- Identify and implement opportunities to strengthen financial systems, streamline processes, and improve operational efficiency.
Human Resources Coordination: (35%):
- Coordinate onboarding and offboarding processes for 40+ positions each year, including job postings, phone screens, scheduling interviews, new hire paperwork, background checks, and exit procedures.
- Maintain up-to-date and compliant personnel files and HR records (digital and physical).
- Support ADP's Operations Department leadership in documenting performance evaluations, pay and benefits changes, and disciplinary actions.
- Serve as the administrator for ADP's 403b, health and general liability insurance, and workers compensation programs.
- Coordinate and facilitate staff training sessions, including on internal processes and resources, and with external partners.
- Track employee leave, vacation, and sick time; serve as the point of contact for day-to-day HR questions from staff.
- Maintain accurate, up to date, and legally compliant personnel files and HR records.
- Identify and implement improvements to ADP's HR roles, pay and benefits, systems, and processes.
Office and Shop Management and Organization Administration (20%):
- Work with Director and Supervisor-level staff to purchase office and shop supplies as needed.
- Maintain records for vendors, supplies, and board meetings.
- Serve as the point of contact for vendors visiting our office or shop.
- Handle mail and errands, answer the front door, represent ADP to visitors, assist in keeping ADP's office clean, and assist in answering phones and emails.
Other duties as assigned, including supporting ADP's events and membership programs.
Experience and Qualifications:
- At least two years of previous HR experience including experience with recruitment, evaluation, counseling, disciplinary action, and offboarding, and a strong understanding of wage and hour and employment law.
- At least one year of bookkeeping, payroll and or payment processing experience.
- Ability to work independently, multi-task, manage multiple projects, and problem solve with minimal supervision.
- Ability to work effectively with ADP's diverse staff team and board and to represent the organization to members of the public.
- Strong written and in-person communications with excellent organizational skills and attention to detail.
- Enthusiasm for ADP's mission, including willingness to be present at community events and gain a deep on-the-ground knowledge of ADP and downtown.
