Position Summary:
The Program Setup & Records Specialist provides critical administrative and logistical support to ensure the smooth enrollment and operation of the Yakutat Tlingit Tribe's Culture Camp. This position is responsible for managing camper registration, maintaining and safeguarding participant records, tracking contracts and required documentation, and assisting with program setup before, during, and after camp.
The specialist will actively participate in Culture Camp planning meetings, assist with on-site setup at the Situk River campgrounds, support check-in and registration days, be at all camp days on-site at the river supporting the delivery of overall programs, and help with program closeout, documentation wrap-up, and final site clean-up. This role ensures that the operational side of Culture Camp is run efficiently, safely, and in full compliance with Tribal policies.
Essential Functions:
- Coordinate camper enrollment and ensure accurate recordkeeping for all participants.
- Manage registration documentation, emergency contacts, consent forms, and contract files.
- Assist in organizing supplies and materials needed for program activities and instructor workshops.
- Maintain confidentiality of sensitive camper and staff information.
- Support the planning and implementation of Culture Camp activities, including assisting with day-of logistics and supply distribution.
- Participates in Culture Camp site setup, daily operations and activities, and final clean-up efforts.
- Communicate with parents, guardians, and Tribal staff professionally and promptly regarding documentation needs.
- Track attendance, incident reports, and program evaluations as needed.
- Participate in set-up before camp begins, daily and final clean-up at the end of camp.
- Performs other duties as assigned.
Knowledge, Skills and Abilities:
Knowledge of:
- Experience working with Tribal governments, education programs, or youth programs is preferred but not required.
- Basic computer applications (Word, Excel, Google Drive) for record management.
- Safety protocols and hygiene standards and ability to follow them.
- Knowledge of the Tlingit History of Yakutat, Tlingit Arts and subsistence lifestyle is preferred but notrequired.
Skill in:
- Strong written and oral communication.
- Strong organizational skills and meticulous attention to detail.
- Strong interpersonal and people skills, including the ability to work with parents, youth, Elders, and staff in a respectful and welcoming manner.
- Problem-solving skills and the ability to manage multiple tasks simultaneously.
- Self-motivated and dependable, able to work independently or collaboratively.

Ability to:
- Handle multiple tasks and work under short timeframes and attend to
- Ability to maintain confidentiality and handle sensitive information with care and professionalism.
- Flexibility to adapt to shifting schedules or needs during Culture Camp operations.
- Ability to safely transport themselves to and from the Situk River camp site.
- Work independently with brief verbal instructions, as well as prioritize
Work Environment/Physical Demands:
The work requires some physical exertion, such as long periods of standing; walking over rough, uneven, or rocky surfaces; recurring bending, crouching, stooping, stretching, reaching, or similar activities; or recurring lifting of moderately heavy items. The work may require specific, but common, physical characteristics and abilities, such as above average agility and dexterity. The employee must be able to read, write, speak and hear.

Supervisory and Management Responsibility:
This position has no formally assigned supervisory responsibility or authority.
Minimum Qualifications:
- High school diploma or GED required.
- Must be 18 years of age or older.
- Must be able to pass a National Criminal and State background check.
- Must be able to pass a fingerprint based National Criminal Background Check.
- Valid Alaska Driver's License.
