Job Description
To provide direct support for NANA Worley Procurement department with the expediting of Program / Project materials. Provide continuous insight into supplier's progress towards meeting purchase order requirements, particularly delivery schedules. Gather available data to explain requirements against which suppliers' progress can be measured. Monitor and report that progress to project management. Develop alternative and timely schemes to keep progress on schedule for project requirements. Under close supervision, monitor the progress towards ensuring that the required supplier order requirements are delivered in accordance to the appointed schedule in the agreed quality at the agreed location.
Essential Duties and Responsibilities
The essential duties for this position include:
HSE Management:
- Work with project team to ensure that all aspects of the projects are setup and executed in full compliance with the requirements of NANA Worley HSE Management system and the client's HSSE requirements and stipulations.
- Demonstrate a visible and active commitment to continuously improve HSE performance.
Project Scope:
- Track and document company's logistic activities.
- Negotiate transportation rates or services.
- Book, track, and maintain on-time delivery of goods between vendors and warehouses to final destination for north slope projects.
- Develop and maintain relationships with carriers.
- Ensure carrier's compliance with our company policies/procedures for transit/delivery.
- Plan or implement improvements to internal or external logistic systems or processes.
- Plan for daily, weekly, and monthly plane, train and trucking needs.
- Superior communication and problem-solving skills to include developing recovery plans in the face of logistical issues.
- Expedite assigned purchase orders to ensure all requirements specified in the purchase order are accomplished with regard to vendor document data supply, coordination of interfaces, timely inspection, and on-time delivery. Report status of procurement, fabrication, delivery, issue, inventory status and communicate to team as required.
- Facilitate the timely flow of information and services to and from Suppliers, Engineering, Project Management and Construction teams. Ensure that material is properly stored and maintained, and that proper care and maintenance of material is documented.
- Ensure terms/conditions of Purchase Orders are met for services/materials procured.
- Perform shop visits as necessary for actual status and progress.
- Issue Supplier alert notices as required.
- Evaluate facts regarding expediting-related problem areas, determine the most appropriate remedial actions and implement such actions through available means.
- Maintain status information on supplier performance schedules, purchase orders, correspondence problems and action items.
- Monitor project performance to facilitate early identification and resolution of potential expediting related problems, changes, disputes and claims.
Quality:
- Ensures the NANA Worley and client quality system requirements are identified and applied on the project.
- Drives process improvement through participating in Lessons Learned, Preventive and Corrective Actions meetings.
- Reviews Material Requisitions and other project correspondence and deliverables for formatting, grammar, and content.
Communication:
- Assists Procurement Lead to ensure accurate and timely reporting to key stakeholders.
- Assures communication throughout project team by developing and managing the procurement schedule.
- Maintain project documentation and aid in the closeout of the project.
Risk:
- Help project team in identification of project risks and opportunities.
- Monitors closure of all identified risks and opportunities.
Education/Experience:
- High School Diploma
- 2 years' directly related work experience in a project team environment
- Working knowledge of MS Office Suite
Preferred Qualifications:
- 2 years of experience in the hydrocarbon industry
- 2 years of college level classes in Supply Chain Management
- Experience in vendor and contractor coordination
- Experience working with remote North Slope operations
- Experience working with procurement database (ex. Oracle, SAP, etc.)
Skills:
- Ability to read, analyze and interpret common scientific and technical journals, financial reports and legal documents.
- Ability to apply basic mathematical concepts such as sums, averages, standard deviations, exponents, etc.
- Ability to define problems, collect data, establish facts and draw valid conclusions. Able to multi-task and prioritize commitments.
- To perform this job successfully, an individual shall have exceptional knowledge of MS Office Suite and Adobe Acrobat Pro.
