Basic Function
Under the general direction of the Air Quality Program Supervisor, provide administrative support to the Air Quality Division. This is a permanent termed position, funded between six months and five years.

Typical Duties
1. Provide administrative support to the Air Quality Division. Answer phones, field questions, and respond to vendors, customers, and general public with correct information. Process incoming mail.
2. Work in conjunction with other Air Quality Division staff to operate the Borough's Wood Stove Change Out Program, including: processing program applications, conducting on-site inspections of solid fuel burning appliances, and other tasks related to this program.
3. Initiate and process purchase requisitions, check requests, budget transfers, and process invoices for payment.
4. Work in conjunction with the Air Quality Manager and Borough Grants staff to complete highly-detailed quarterly reports for Air Quality grants.
5. Process and complete RFQs and other procurement activities as needed.
6. Maintain Division filing system, records management system, and office supply inventory. Work in conjunction with Transit staff to order office supplies.
7. Serve as Notary Public for the Air Quality Division.
8. Provide backup support for other positions in the Air Quality Division.
9. Create and maintain accurate desk manual.
10. Other duties as assigned.
Position Requirements
MINIMUM QUALIFICATIONS:
1. High school diploma or equivalent. Three (3) years of progressively responsible office experience that includes extensive contact with the public. Two (2) years' experience using a computerized accounting system.
2. Demonstrated ability to operate a personal computer (MS Word and Excel required). Demonstrated ability to make mathematical computations with speed and accuracy.
3. PREFERRED: Ability to have and maintain a valid driver's license and to meet insurance standards and maintain insurability under the Borough's insurance program. If personal automobile is used for Borough business, proof of insurance at statutory limits must be provided. (A CURRENT COPY OF DRIVING RECORD WILL BE REQUIRED UPON REQUEST.)

1. Demonstrated ability to explain policies and procedures to the public and respond in a pleasant and courteous manner, often times in stressful and hostile situations.
2. Ability to deal effectively and harmoniously with the public and maintain effective working relationships with other employees; possess excellent customer service and telephone skills.
3. Must be capable of functioning with minimal direction and perform work in an organized and professional manner, sometimes under stressful conditions with short deadlines. Must have ability to understand and execute oral and written instructions and questions and handle multiple tasks using independent judgement.
4. Ability to obtain Notary Public within three (3) months of hire.
5. Ability to write legibly and communicate effectively both orally and in writing.

1. A PROFICIENCY TEST MAY BE ADMINISTERED.
