Job Summary
The Major Maintenance Project Assistant supports the management and execution of maintenance projects across the Anchorage School District's facilities. The role involves maintaining project documentation, ensuring compliance with safety and district policies, and monitoring budgets. Responsibilities include assisting with project planning, scheduling, tracking progress, and coordinating with contractors, vendors, and school staff. The assistant provides logistical support, communicates updates to stakeholders, and helps resolve issues to ensure projects are completed on time and within budget. Strong organizational, communication, and problem-solving skills are essential. The position has a retirement association with the Public Employees' Retirement System (PERS).
Job Requirements
The following are required:
* A high school diploma or equivalent.
* Working knowledge of computers, specifically Excel and Word applications.
* Previous experience in a project assistant, project coordinator, or similar role.
* General knowledge of basic construction and building codes.
* A valid driver's license.
The following are preferred:
* A bachelor's degree in architecture, construction management, business, design, or a construction related field.
* Experience using Business Plus, Bluebeam, Google Suite and project management software.
* Knowledge of government contracting, procurement policies, and best practices.
* Experience in construction, maintenance, and/or project management.
* Experience supporting teams, managing resources, and directing activities.
* Ability to read and interpret construction documents including plans, specifications, and product data.

Essential Job Functions
* Works directly under the supervision of the major maintenance project manager.
* Ensures accurate file maintenance and project data.
* Assists in the preparation of reports, project budgets, plans, specifications, and estimates for various types of design and construction projects.
* Coordinates and participates in community based and in-house professional review of plans and specifications.
* Organizes and processes all procurement related to contracted services for the Maintenance Department including Open Market, Invitation to Bid (ITB), and Request for Quotes (RFQ) ensuring all public procurement requirements are fulfilled.
* Creates work orders and facilitates procurement data in the CMMS program.
* Provides general administration of design and construction contracts.
* Monitors and evaluates design/construction schedules and identifies and addresses problems early to avoid delays.
* Reviews project schedule recommendations, progress payments, change requests. and material submittals.
* Assists with project initiation and scope development, maintains project logs, project status reports, coordinates actions between all stakeholders, and assists in construction close-out phases.
* Coordinates school initiated projects as a liaison between school staff and district stakeholders.
* Performs other duties as assigned.
Physical /Mental Demands
The physical demands of this job require frequent standing, walking, sitting, speaking and hearing. Specific visual abilities are also required. The employee is regularly required to reach with his/her hands and arms and occasionally lift items weighing less than 40 lbs. Additionally, the employee must be able to understand vague and implicit instructions, be able to readily recall facts and details, handle conflict and make effective decisions under pressure. The employee must have the ability to effectively manage the stress of working with students, parents, and other employees representing diverse cultures, personalities, and work styles in a dynamic work environment.

Work is performed in a professional environment with a wide variety of individuals having differing functions, personalities and abilities, including working with diverse groups of people in a variety of different settings.
While performing the duties of this job the employee may be regularly exposed to a video display. The employee may be exposed to outdoor weather conditions. The noise level in the work environment is usually moderate.
