JOB SUMMARY:

The Customer Service Coordinator will serve as the face of the CECI office, maintain the CECI office needs, and support CECI staff in various high-level activities, including CECI Programs and Projects, the Burial Assistance Program, Board of Director meetings, the Scholarship Program, fundraising events, and other support duties as assigned.

ESSENTIAL FUNCTIONS:

Office and Supplies:

* Check and distribute mail, ship documents and perform errands.

* Prepare and send correspondence.

* Serve as the main point of contact for answering and directing incoming calls.

* Monitor faxes and shared email inbox, responding to inquiries and general questions.

* Type, format, edit and proofread materials containing confidential and/or sensitive information related to business operations.

* Order and inventory office supplies.

* Schedule appointments and maintain the office calendar.

* Maintain office contact information.

* Maintain CECI common spaces including kitchen and supplies in an orderly and clean manner.

* Serve as point of contact for any building maintenance issues or notifications.

General:

* Build and maintain collaborative relationships by working with groups, organizations, and partners.

* Establish and maintain effective working relationships with other staff, partners, students, and external contacts required in the course of work.

* Demonstrates exceptional customer service in all interactions.

* Support a learning environment that encourages Team and customer participation.

* Ensure programs are aligned with the organization mission, vision, goals and objectives.

* Conduct research and benchmark best practices to develop and implement programmatic improvements to enhance system efficiencies and effectiveness.

* Evaluate, measure, and analyze program data to report returns on investment, program success, and program alignment with the organization mission, vision, and objectives.

* Ensure program data is compiled and recorded in a database using a determined method; ensure documents are assembled, organized, tracked, and filed.

* Work in a constant state of alertness and in a safe manner.

* Participate in Company required training.

* Perform other duties as assigned.

Project Support:

* Provide professional, organizational, coordination and technical project support to all CECI programs under the direction of the CECI Executive Director.

* Respond to inquiries with guidance from the CECI Executive Director.

* Research, compile, analyze, and prepare technical documents and reports.

* Assist with the daily program operations and schedule activities.

* Review, organize, prioritize, process, maintain, file and report on project forms as assigned.

* Perform a wide variety of administrative tasks independently; respond to correspondence relating to confidential and complex matters relating to programs and projects.

* Resolve work problems involving administration and staff.

* Develop and recommend procedures for data compilation, maintenance, and presentation.

* Maintain data used to assist in policy, procedure, and program determination.

* Process applications, data entry, and report development, ensuring materials, and procedures are updated.

Burial Assistance Program:

* Serve as the point of contact for Burial Assistance Program.

* Assemble and process applications, verify eligibility, notify customers of status, and process payments.

* Maintain Burial Assistance Program files and report regularly to the Executive Director on the program metrics.

Book Publishing Program:

* Manage book sales tracking, inventory, and purchasing.

* Serve as vendor point of contact for book sales contracts and customers.

* Coordinate and complete CECI book orders to maintain stock.

* Maintain relationships with CECI's publishing houses.

Meetings and Board of Directors Meetings Support:

* Assist with scheduling regular Calista Education and Culture Board of Directors meetings, assist with meeting agendas and packets, distribute packets, record meeting minutes, and prepare reports as assigned by the Executive Director.

* Coordinate in-person and virtual meetings using various virtual meeting platforms as assigned.

Fundraising Events and Activities:

* Assist with advertising and distributing material.

* Assist with fundraising events, including the annual Golf Tournament and Employee Giving Campaign.

* Provide information and support donations.

* Process contributions, monitor budget and acknowledge contributors.

Travel:

* Coordinate and secure travel, airfare, accommodations, car rental and process per diem as assigned by the Executive Director.

* Travel may be required within the region and throughout Alaska to perform job related tasks.

SUPERVISORY FUNCTIONS:

This job has no supervisory responsibilities.

KNOWLEDGE, SKILLS, & ABILITIES:

* Proficiency in Microsoft Office Suite, with the ability to learn additional software programs.

* Ability to evaluate, measure, and analyze program data for reporting and alignment with CECI's mission, vision, and objectives.

* Detail oriented with superior organizational, information management, and follow-up skills.

* Advanced customer service skills, including active listening, prompt service, follow-up, one-call resolution, and customer appreciation.

* Strong communication skills; including effective oral, technical written communication, and active listening.

* Critical thinker with strong decision analysis and problem-solving skills: ability to draw conclusions and justify decisions.

* Excellent interpersonal skills to work effectively and cooperatively with others.

* Excellent organizational and time management skills with the ability to prioritize, multi-task, and maintain data confidentiality and accuracy.

* Advanced technical writing skills for compiling professional documents such as memos, correspondence, and reports.

* Ability to multi-task in a fast-paced environment and professionally assist customers.

* Ability to schedule and facilitate meetings, including taking meeting minutes and managing virtual meeting platforms.

* Proficiency with general office equipment (fax, phone, copier, etc.).

* Ability to develop and maintain collaborative relationships with staff, partners, students, and external contacts.

* Ability to read, learn and understand policies and procedures and their relation to CECI's goals.

* Ability to process a high volume of data accuracy and to meet various deadlines.

* Ability to work independently with minimal oversight and maintain a professional appearance.

* Ability to perform basic mathematical computations, and exercise resourcefulness in resolving problems.

* Ability to changes in tasks and work environment; ability to manage competing demands and adjust approach as needed.

* Ability to work in a Native Corporation multi-business environment.

MINIMUM QUALIFICATIONS:

* High School Diploma or GED required; Associates or Bachelor's Degree strongly preferred.

* Minimum of 4 years' related experience and/or training; or equivalent combination of education and experience.

* Proven work experience requiring the use of a computer and business software such as Microsoft Office Suite.

* Willingness and ability to travel in the Calista Region is required.

* Fluency in the Yupik language strongly preferred

* Valid state driver's license and qualification to operate a vehicle under the conditions of CECI's Driving Policy.

* Ability to pass a drug, driving and background screening.

WORKING CONDITIONS

Calista Education and Culture, Inc.'s team has a fast-paced multi-tasking customer service oriented office environment requiring a high degree of efficient and effective performance. Adaptability regarding schedule and task changes is necessary to accommodate changing priorities. Overtime may be required.
